Patient automation

Follow-up that never forgets*

*or takes a lunch break.

WhatsApp and email workflows that reply within a minute, nurture every enquiry by treatment, chase no-shows and wake up old leads. Personal enough to feel human, automatic enough that your team never has to remember.

A lead's first fortnight
Min 1WhatsApp reply with the price guide and a booking link
Hour 1Call task lands with your coordinator
Day 1Email: what happens at a consultation
Day 3Email: answers to the questions everyone asks
Day 7WhatsApp: still thinking it over?
ReplyAutomation stops. A human takes over. Consult booked.

Illustrative

The workflows

Six flows. Zero sticky notes.

Speed to reply

Instant reply.

Every new enquiry gets a personal WhatsApp and email within a minute, day or night, with prices and a link to book. Your team gets a call task at the same time.

Nurture

Nurture by treatment.

Invisalign leads hear about Invisalign. Skin leads hear about skin. Short sequences that answer the real questions, written in your clinic's voice and checked against advertising rules.

Reminders

Consult reminders.

Confirmation, a reminder the day before and directions on the day. One tap to rearrange instead of a silent no-show.

No-shows

No-show recovery.

Missed a consult? A friendly message within the hour offers new times, so the slot gets refilled rather than written off.

Treatment plans

Plan follow-up.

After the consult, a gentle sequence covers finance options, FAQs and what happens next, until they accept, decline or ask for a call.

Reactivation

Wake up old leads.

Past enquiries and lapsed patients who've agreed to hear from you get a reason to come back. Every patient gets a review request at the right moment after treatment.

WhatsApp and email

Where patients actually reply.

Patients read WhatsApp. They don't read your ninth email. We use both, each for what it's good at, and every message is logged against the patient in your CRM so your team sees the whole conversation.

Only sent to patients who opted in on your form
Quiet hours for follow-ups, so nobody gets a nudge at midnight
Stops the moment a patient replies, and hands them to a human
Clinical questions always go to your clinicians, never a bot
One-tap unsubscribe on every message

Hi James, sorry we missed you at 16:00 today. No harm done. Want me to find you another time this week?

Ah sorry, got stuck at work. Saturday morning?

Saturday 10:30 is free. Shall I pop you in?

Yes please

Consult rebooked. Reminder scheduled.

How it works

Mapped with your team. Built to run without them.

Map

Your journey, on paper first.

We sit with reception and your coordinators, map how enquiries really flow today and agree where automation helps and where a person must step in.

Build

Written, built and tested.

Message copy in your voice, workflows built in your CRM, WhatsApp connected through a provider in your clinic's name, and every path tested before it goes live.

Measure

Reported, then refined.

You see replies, bookings and no-shows by flow. Anything underperforming gets rewritten, not left running on autopilot.

Questions

Fair questions.

Won't automated messages feel robotic?+

Not if they're written properly. Every message is short, uses the patient's name and treatment, and sounds like your front desk on a good day. The moment someone replies, a real person picks it up.

Is WhatsApp allowed for patient messages?+

Yes, with consent. We add a clear opt-in to your forms, use the official WhatsApp Business platform through a provider billed to your clinic, and keep clinical conversations out of automated flows.

Which CRM do we need?+

We usually build in HubSpot. If you already use another CRM or practice system, we'll check what it can do before recommending anything new.

Who owns the accounts and messages?+

You do. The CRM, the WhatsApp number and the email sending domain are all set up in your clinic's name. If we part ways, everything stays with you.

Can you add this to a website you didn't build?+

Yes. As long as your forms can send enquiries into the CRM, the workflows work with any website.
